COUNCIL MEETING,

Dear District 61 Council Members,
As you are aware, the District 61 Fall Conference will take place at Château
Bromont from November 13 to 15, 2009. Club Presidents and Club VPs of Education
also each have a vote. This voting privilege is exercised at the conference’s
District Council Meeting. This meeting will take place on Saturday, November
14 at 11:00 AM at Château Bromont, located at 90 Stanstead Road in
Bromont, Quebec.
As President or VP of Education you have a voice and a responsibility
to provide your district, District 61, with the direction it needs to improve
our clubs, our areas, our divisions and our district.
Included with this e-mail are the:
- Agenda for the Council meeting on November 14, 2009
- District budget for the current year
- Year- end audit report for the year ended June 30, 2009
- Proxy forms (in both languages)
Proxies
Should you not be able to attend the Council
Meeting, it is important that you vote. To facilitate this process, please
find attached a proxy.
If you cannot attend, please sign this proxy and pass it on to
a member of your club who will be attending and can vote on your behalf.
In this
way your vote will count and you will help us manage the affairs
of District 61.
To run our district we require a quorum. Therefore, we need your active
participation: we need your vote. To achieve this objective, we need you
to:
- be present at the Council Meeting and vote, OR
- sign and pass
on your proxy to the representative of your club who will
vote on your behalf
In order to vote, you must present yourself at the Credentials desk (this
also includes those with a proxy) and you will be provided a ballot form.
Minutes of the business meeting at the 2009 Spring Conference
To
help you fulfill your function as an executive, the minutes of the meeting
at the 2009 Spring Conference will be available on our District
Web site in a few days. We urge you to read and to print these
minutes before the conference so that you will be aware of the latest developments
in District 61. Also, a copy of these minutes will be e-mailed
to you later
this week. Please don’t forget to bring the minutes with you to the
conference. Thank you.
Agenda for the business meeting at the District 61 Fall Conference
The agenda for the business meeting is enclosed. This agenda will also
be made available to you on our District 61 Web site at the same time as
the minutes. Please be sure to bring a copy of the agenda with you to the
conference.
